1. Introduction and Acceptance

Welcome to DocTranslate.AI ("we," "our," or "us"). By accessing or using our website and services, you agree to be bound by these Terms of Service ("Terms"). If you disagree with any part of these Terms, you may not use our service.

These Terms govern your access to and use of DocTranslate.AI's file translation platform, including all features, credits, and related services. They apply to all users — individuals and businesses alike.

2. Service Description

2.1 Core Service

DocTranslate.AI is an AI-powered SaaS platform that translates files across 15+ formats (Excel, CSV, Word, PowerPoint, JSON, YAML, XML, PO, XLIFF, HTML, Markdown, subtitles, iOS/Android strings, and more) into 100+ languages, preserving the original file structure throughout.

Translation is performed using a combination of AI language models and neural machine translation providers, selected automatically based on content type and volume.

2.2 Service Availability

We aim to provide reliable, continuous access to our platform. However, we do not guarantee uninterrupted availability. Scheduled maintenance and unforeseen outages may occur. We will make reasonable efforts to notify users of planned downtime.

2.3 Service Modifications

We reserve the right to modify, add, or remove features at any time. For significant changes that affect existing functionality, we will notify users by email or via an in-app notice with reasonable advance notice.

3. Account Terms

3.1 Eligibility

To use DocTranslate.AI you must:

  • Be at least 18 years old
  • Register with a valid email address
  • Provide accurate and complete account information
  • Maintain the confidentiality of your account credentials

You are responsible for all activity that occurs under your account.

3.2 Prohibited Use

You may not use DocTranslate.AI to:

  • Translate content you do not have the right to share or process
  • Violate any applicable law or regulation
  • Attempt to reverse-engineer, scrape, or abuse the platform
  • Share account credentials or resell access
  • Interfere with the service or other users' access
  • Upload malicious files or content

4. Credits and Payments

4.1 Credit Model

DocTranslate.AI operates on a pay-as-you-go credit system — there are no recurring subscriptions.

  • Credits are consumed per translation job based on content volume and the translation mode selected
  • The credit cost of a job is calculated and shown before you confirm
  • Credits are deducted before a translation job starts
  • If a job fails, credits are automatically refunded to your account
  • Credits are valid for 1 year from your last purchase date
  • There is no free tier — a minimum purchase is required to use the service

4.2 Pricing

Credit packs are available at the following tiers:

  • 5,000 credits — $4.99
  • 100,000 credits — $49
  • 500,000 credits — $199
  • 2,000,000 credits — $599
  • Enterprise — contact us for custom pricing

All prices are in USD. Applicable taxes may be added at checkout depending on your location.

4.3 Payment Processing

Payments are processed securely by a third-party payment provider. We do not store your card details. All purchases are one-time transactions — no automatic renewals or recurring charges.

4.4 Refund Policy

Credit purchases are non-refundable once made, except in the following cases:

  • A technical error on our part causes credits to be incorrectly deducted
  • A translation job fails — in which case credits are automatically restored
  • A duplicate charge occurs due to a payment processing error

To request a refund for an eligible case, contact us at support@doctranslate.ai within 14 days of the transaction.

5. File Handling and Content

5.1 Your Files

You retain full ownership of all files you upload. By uploading a file, you grant DocTranslate.AI a limited, temporary license to process the file solely for the purpose of performing the requested translation.

You represent and warrant that you have the right to upload and process the content in your files, and that doing so does not infringe any third-party rights.

5.2 File Retention

Uploaded files and translated outputs are automatically and permanently deleted 7 days after job completion. We do not use your file content to train AI models or for any purpose beyond delivering your translation.

5.3 Translation Accuracy

AI and neural machine translation outputs are provided as-is. While we strive for high quality, we do not guarantee the accuracy, completeness, or fitness of translated content for any particular purpose. You are responsible for reviewing translations before use in production, legal, medical, or other critical contexts.

6. Data Protection and Privacy

Your privacy matters to us. Our collection and use of personal data is governed by our Privacy Policy, which forms part of these Terms. By using DocTranslate.AI, you agree to our privacy practices as described therein.

7. Intellectual Property

7.1 Our Platform

All rights, title, and interest in and to the DocTranslate.AI platform — including the software, design, trademarks, and all related intellectual property — remain the exclusive property of DocTranslate.AI and its licensors.

7.2 License to Use

We grant you a limited, non-exclusive, non-transferable license to access and use the service for your personal or internal business purposes, subject to these Terms. You may not copy, modify, distribute, sell, or sublicense any part of our platform.

8. Termination

8.1 By You

You may close your account at any time by contacting support. Unused credits are forfeited upon account closure and are not refundable.

8.2 By Us

We may suspend or terminate your account immediately and without notice if you violate these Terms, engage in fraudulent activity, or abuse the platform. In cases of accidental or disputed termination, contact us at support@doctranslate.ai.

8.3 Effect of Termination

Upon termination, your access to the service ceases immediately. Your files are deleted within 7 days per our standard retention policy. Account data is retained for up to 30 days before permanent deletion.

9. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW:

  • DocTranslate.AI is provided "as is" without warranty of any kind
  • We are not liable for the accuracy or quality of AI-generated translations
  • We are not liable for any indirect, incidental, special, or consequential damages arising from your use of the service
  • Our total liability to you for any claim shall not exceed the amount you paid us in the 12 months preceding the claim
  • We are not liable for losses arising from third-party AI/MT provider outages or degraded quality
